Privacy policy
What we collect, why, and how long we keep it.
Who this covers
This describes how Speaker Register handles personal data for everyone who touches the directory: program officers, speakers, and anyone a chapter refers. It's separate from the inclusion and governance policy, which covers what gets listed and why.
What we collect
If you're a program officer: your name, email address, chapter affiliation and role — collected so a person can confirm you're an officer of that chapter, and so you can send requests.
If you're a speaker, or someone refers you: whatever is submitted to list you — name, employer, job title, topics, certifications, a LinkedIn or website link, and a contact email. The contact email is held in a separate, restricted table and never appears on a public page.
If you contact a speaker: the event details you provide and your own identity, so the speaker has enough to decide.
Automatically: one session cookie to keep you signed in. No analytics, no advertising trackers, no third-party scripts.
How we use it
To operate the directory: show search results, route requests to the right speaker, verify officer identity, and email you when something needs a response. Ratings are collected from officers who booked a speaker through the directory and shown to verified officers only — never publicly, and never below five responses for any one speaker.
Who we share it with
We use a transactional email provider to deliver messages on our behalf — it sees the email address and message content needed to send that one email, nothing more. We don't sell personal data, and we don't share it with advertisers or with chapters other than the one making a specific request.
How long we keep it
A record added by a chapter rather than the speaker is deleted automatically after twelve months if never confirmed. Declining a claim invitation deletes the record immediately, contact details included. Feedback ratings drop out of any aggregate after thirty-six months. You can delete your own listing at any time, with no need to say why.
Your choices
Every email we send carries a working unsubscribe link — one click, no confirmation step. Unsubscribing stops email; it doesn't delete a listing, since those are separate actions. To see or delete what we hold about you, sign in and use your account, or reply to any email we've sent, or use the contact form.
Security
Action links (accepting a request, claiming a listing, signing in) use single-use tokens that are hashed before storage — the plaintext token exists only in the email itself, never in our database. Contact details live in a table structurally separate from anything a public page can reach.
Children
This directory is for working professionals. It isn't directed at children, and we don't knowingly collect data from anyone under 18.
Changes to this policy
If this changes in a way that affects what we collect or how we use it, we'll update this page and email accounts it materially affects.
Questions
Use the contact form, or reply to any email we've sent you — a person reads both.
